Organising an event

Organising an event requires planning and teamwork. If you are interested in establishing a new event, then you should firstly contact the Sport Team at British Eventing at, who will send you further information and a form to complete if you are still interested. You will then be put in touch with your Regional Coordinator who will arrange a site visit. During that visit they will establish suitability of the land for eventing, and will discuss the proposed organisation of the event. 

Assuming that both aspects are satisfactory, the Regional Coordinator will discuss with you the most suitable time of year or specific date for you to run the event. Negotiating dates can be a long process to avoid clashing with local events and other fixtures currently in the calendar. It is important that fixtures do not clash in location or class. 

Priority is given to existing events, but once an acceptable date has been agreed, your new horse trials will be affiliated. 

An affiliation agreement will need to be signed, accepting the BE Rules, a copy of which will be sent to you when your event is affiliated. 

The Regional Coordinator and Sport Manager at British Eventing Head Quarters appoints a Technical Adviser and a Steward to your new event and between them they advise on the layout of the three phases of the event. You will need to employ a Course Builder; BE can suggest names from among its Accredited Designers and Builders. The Technical Adviser will be responsible for overseeing the building. The Course Builder and Course Designer must be accredited to the relevant level (as per annex 7 of the BE Members' Handbook). As the preparations for the event progress and plans evolve, they can advise on every aspect of your event.

Organising a successful event requires dedicated volunteers and helpers. Each event can need a huge number of volunteers to help the day run smoothly.


Careful management of finances is important when organising an event. There are lots to consider, including insurance, withdrawals and medical cover, to name a few.
